I am recommending the tools because I use the tools.

1.) Monday.com

This is #1.

I have three different businesses, and each company has its own Monday.com account. I could not run any business without it.

It’s how I can manage a team, manage projects, track customer journeys, etc. Its most powerful feature is, by far, how many things can be automated. It’s a bit overwhelming at first, but once you take the time to learn it, the options on how to use Monday.com are endless.

2.) Hubspot.com

I have used Hubspot off and on for years. They have so many free options it’s so easy to get started with them. However, I started using them in a significant way this year.

And I’m pissed it took me this long….

If I could go back in time, I would tell my younger entrepreneur self to start with Hubspot and stick to it.

CRM, reporting, ad tracking, automation, email, landing pages, etc. The list goes on and on… But, unfortunately, it’s taken me getting better at business to truly realize how powerful a tool can be in scaling your business.

3.) Zapier.com

I have a love/hate relationship with Zapier. However, the truth is a lot of functions in my business would not be possible without it.

In short, Zapier can tie almost any two pieces of software together without having to be a software developer. What can make me “hate” Zapier is that you CAN tie anything together. But “SHOULD you?” is the first question to answer. It’s a massive pain if something breaks.

Why do I also “love” Zapier? As of today, I have 92 active “Zaps” that have automated 2,692 tasks this month.

A lot of those tasks that have been automated are crucial for reporting, functionality, etc. For example, without zapier, I would need at least two humans at the data-entry level to join the team to do what Zapier automates.

That’s two salaries I am not paying because of software. Powerful.

4.) Spark Mail

The last two are more productivity apps.

My team and I have used Spark Mail for years. Discussing email templates and scheduling emails with the team make it pretty powerful.

And just last week, they released a new version that impressed me. I can block senders, archive all newsletters with a click, prioritize emails, etc.

I hate email.

Email is a to-do list that someone else gives you. I like Spark because it keeps me in my inbox for a limited time.

5.) Reclaim.ai

I’ve been using Reclaim for about a year, so let me explain how I use it.

First, I put everything on my calendar, i.e., things that can’t move around, like meetings with teams, podcast interviews, etc.

Second, you can put things on your to-do list on Reclaim. You can add an estimated time it will take you to complete the task and even give it priority.

Then you are done.

Reclaim will automatically put your “to-dos” on your calendar in the spaces and times you have available.

That’s productivity 101.

Knowing what tasks to do is essential. But scheduling that task and completing it…far more critical.

It also has an excellent “habit” feature that will slip in any habits you try to build onto your calendar.

Reclaim prevents me from pretending I will get 100 things done in a week. Instead, I’ll have this massive list of things to do but then realize, given my calendar, only four of them can get done.
